Logistics and RMA
This guide covers sending equipment to a site and returning it to a vendor. Storage and handling scope depends on your order and the site.
Before you ship
- Obtain receiving approval before dispatch; confirm the destination, receiving window, authorized contact, handling scope, and delivery reference
- Send shipment details: carrier, tracking number, piece count, and weight
- Label every piece with your organization name and reference
Receiving and custody
Receiving records the piece count and visible condition on arrival. Visible damage is noted as an exception and reported to you. Storage duration and handling are limited to the scope in your order. Receipt does not authorize installation, connection, or work on equipment.
Record custody handoffs and the authorized disposition. For missing pieces, damage, or a mismatch with pre-advice, retain the exception reference and request instructions through the approved contact. Agree return packaging, collection authority, shipment reference, and evidence of handoff before a return is dispatched.
Vendor returns
Obtain the return authorization from your vendor, then request the return with the RMA number, packaging, and shipping label. Responsibility for media handling, erasure, return, and custody follows the agreed authorized scope. Confirm the responsible party and required evidence before releasing equipment; a shipping request alone does not authorize data handling.
